Patient Intake Automation for Australian Clinics

New patients arrive with clipboards and pens today. Tomorrow they arrive with all the paperwork already done on their phone — history, medications, allergies, Medicare, consent — synced into your practice management system before they walk in.

First appointments in Australian clinics still lose 10-20 minutes to paper forms and rekeying. That is 10-20 minutes of billable clinical time evaporated on data entry that could have happened on the patient's phone before they left home. It is also 10-20 minutes of front-desk time transcribing handwriting into your PMS.

Digital intake, done properly, closes both gaps in a single workflow.

    What we build

    1. 1A branded intake link, sent automatically the moment a new patient books (SMS + email).
    2. 2A mobile-first form covering the fields your PMS actually needs — demographics, Medicare/DVA, private health, referrer, allergies, medications, past medical history, presenting complaint.
    3. 3E-consent for treatment, privacy collection, telehealth (if applicable) and communication preferences.
    4. 4Live data sync into your PMS — Best Practice, Medical Director, Cliniko, Halaxy, Nookal — so the patient's record is populated before arrival.
    5. 5A gentle reminder chain if the form is not completed within 24 and 12 hours of the appointment.

    Where it fits

Every clinic with a new-patient onboarding step: GP, allied health (physio, osteo, chiro, psych, exercise physiology, dietetics), dental, cosmetic medicine consultation, IVF and fertility, women's health, paediatric. See the broader medical clinics hub for context.

    The compliance side

    • APP 5 collection notice presented in the flow — patients know exactly what data you are collecting and why.
    • APP 6 consent for use of information beyond primary purpose, if you want to enable secondary use like recall or research.
    • Data at rest encrypted; data in transit over TLS 1.2+; data hosted in Australian regions by default.
    • Full audit trail — who signed what, when — attached to the patient record.

    Common questions

Can it capture Medicare / DVA / private health fund details?

Yes. The form validates format on submission — a Medicare number that is not 10 digits with a valid IRN gets flagged immediately rather than being caught at the front desk.

Can we require e-consent for privacy collection?

Yes. E-consent capture is included by default and satisfies the Australian Privacy Principles for collection notice + consent for a health service provider.

Does it work for allied health with treatment-specific consents?

Yes. We build separate consent flows for physio, psych (including Medicare Mental Health Care Plan), exercise physiology, dental extraction, cosmetic consultation, etc.
